Murphy is recruiting for a Administration Assistant - Dublin or Kildare to join their teamon a 10 month fixed term contract in delivering an exciting FEED Project which will be the foundation stone for potential future delivery of the EPC of a strategically important infrastructure project in Ireland.

 

In the interest of maximising the time and capacity of our engineers on site, we are looking for a confident and competent person to take ownership of and facilitate all of the project’s administrative aspects. The role presents an excellent opportunity for the right person to unleash their passion and administrative expertise in a class-leading, international organisation. Note that the role is based in Murphy Cookstown Office Dublin or Newbridge Office.

What you will be doing:

  • Processing of incoming/outgoing Transmittals from/to the client:
    • Update the transmittal register
    • Save transmittal attachments a CDE/SharePoint Folder Structure
    • Notify the project team of new transmittals, drawing revisions etc.
    • Still to be confirmed if a document control system is to be used
    • RFIs generated by engineers
  • General maintenance of the CDE/SharePoint Folder Structure.
  • Printing/scanning of drawings/documents when required.
  • Booking of meeting rooms/workshops.
  • Organise inductions for new personnel (Murphy and Sub-contractor)
  • Coordinate, track and monitor safety paperwork - maintenance of Safety Registers including scanning and filing of all corresponding documentation
    • Site Personnel Induction & Training Register (with expiry alerts)
    • Hired / Off-hired Plant and Equipment Register
    • Administrative responsibility for competence assessments/reviews
  • Procurement – generate material requisitions, PO coordination, document filing, processing of delivery dockets.
  • Coordination of the Staff and external designers’ timesheets, hours allocation sheets, leave requests, sick leave, compassionate leave, subsistence, etc.
  • Capturing and compilation of Subcontractor timesheets.
  • Hotel accommodation bookings, cancellations and amendments and assisting with travel arrangments
  • Subcontractor onboarding (pre-mobilisation documentation coordination).

 

Who we are looking for:

  • MS Office competence – Teams, Outlook, Word, Excel and PowerPoint
  • Excel & Word proficiency must be ‘expert’ (excluding macros)
  • Effective document control within the Project Folder Structure
  • Effective time management
  • Coordination of multiple work fronts
  • Keen and meticulous attention to detail
  • Takes pride in accuracy and presentation of information
